The PeopleSoft Modernization project is a strategic investment in the university's ability to make informed decisions, support growth, and operate more efficiently. By modernizing financial processes, improving reporting capabilities, and implementing integrated grants and project management functionality, TCU is building a stronger foundation for the future. The project is intended to enhance financial management and operational efficiency, improve reporting, reduce reliance on shadow systems and spreadsheets, and establish standardized business processes across the university.

The GL/COA Modernization Project is a university-wide initiative to redesign the Chart of Accounts (COA) and modernize our financial foundation within PeopleSoft. The project is intended to improve financial reporting, data quality, operational efficiency, and decision-making capabilities across the university.

The current Chart of Accounts structure has supported the university for many years, but evolving business needs require greater flexibility, improved reporting capabilities, and better visibility into financial activity. A modernized COA will provide clearer, more meaningful financial information to support planning and decision-making.

A Chart of Accounts is the framework used to organize and categorize financial transactions. It defines how financial information is recorded, reported, and analyzed across the university.

The new COA is expected to:

  • Improve financial transparency and reporting
  • Enhance data quality and consistency
  • Support better budgeting and planning
  • Reduce manual effort and reporting workarounds
  • Enable more meaningful analysis and decision-making
  • Better align financial information with university operations and strategic priorities

Anyone who enters, reviews, approves, manages, or reports on financial information may be impacted. This includes staff in Finance, Budget, Grants, Research, Human Resources, Academic Departments, and Administrative Units.

Many chartfields and account structures will be reviewed during the design process. While some values may remain unchanged, others may be modified, consolidated, or replaced to improve reporting and usability. Detailed guidance will be provided well before go-live.

Yes. Preserving access to historical financial data is a key project requirement. The project team is developing a strategy to ensure users can continue to view and report on historical information after implementation.

The modernized COA is being designed to provide more consistent, accurate, and meaningful reporting. Existing reports may need to be updated to align with the new chartfield structure, and new reporting capabilities will become available over time.

Yes. The redesigned COA is expected to improve budget management and forecasting by providing more detailed and consistent financial information across the university.

The project includes significant work related to Grants Management, Project Costing, and Commitment Control. Sponsored project accounting and reporting processes will be reviewed and aligned with the future-state COA design. Specific guidance will be provided to research and grants personnel as project work progresses.

The primary focus is PeopleSoft Financials; however, any system, interface, report, or process that relies on financial chartfields may be reviewed as part of the project. The project team is assessing upstream and downstream impacts during the design process.

Yes. Training is a critical component of the project. Multiple training opportunities, reference guides, demonstrations, and support materials will be provided before implementation to ensure users are prepared for the transition.
